Privacy policy

UV Ink respects your personal information and handles it in line with the Protection of Personal Information Act, 4 of 2013 (POPIA). This policy explains what we collect, why we collect it, and how you can exercise your rights when you contact us or request support.

1. Who This Policy Applies To

This privacy policy applies to visitors who use the UV Ink enquiry form, request product support, ask for courier stock assistance, or engage with us for ink selection, compatibility checks, adhesion testing, curing guidance, sample pack prep, production planning, operator training, safe handling briefing, remote tech help, courier stock support, and repeat order management. It also applies to anyone whose details are shared with us for a business enquiry from Cape Town, Johannesburg, Durban, Pretoria, Gqeberha and surrounding areas.

For purposes of this policy, UV Ink is operated by Astros Marketing (Pty) Ltd. Our base is in Epping, Cape Town, and we support customers across South Africa by courier and direct contact through the enquiry form on our contact page.

2. Information We Collect and Why

We only collect personal information that is reasonably needed to respond to your enquiry, manage an order, give technical support, or keep proper business records. In some cases, this may include your name, company name, contact details, delivery address, invoice details, order history, and any notes you give us about printer type, substrate, curing method, or application requirements.

  • To answer enquiries and prepare quotations or product recommendations
  • To check ink compatibility with flatbed or roll-to-roll printers
  • To arrange courier delivery and manage repeat orders
  • To provide training, handling guidance, and after-sales support
  • To keep accounting, tax, and internal record keeping in order

We may also receive information about your equipment and print conditions where this helps with adhesion, curing or colour trial support. Please avoid sharing information that is not needed for the service request.

3. How UV Ink Uses and Shares Personal Information

We use personal information only for lawful business purposes connected to your interaction with us. That includes responding to your enquiry, verifying stock needs, preparing samples, supporting production planning, and arranging delivery to your chosen address.

We may share limited information with third parties only where necessary to carry out the service you requested, such as courier providers, accounting support, or service partners who assist with communication and record keeping. We do not sell personal information. We also do not share more than is required for the task at hand, and we expect any third party handling information on our behalf to keep it secure.

4. Security, Storage and Retention

We take reasonable steps to protect personal information against loss, misuse, unauthorised access, alteration or disclosure. Access is limited to staff who need the information to do their work, including our sales, logistics, support and customer service teams.

  • Records may be stored in secure electronic systems and protected files
  • We keep information only for as long as needed for the purpose collected or as required by law
  • We review retention needs for tax, delivery, warranty or business record purposes
  • Where information is no longer required, we take steps to delete or anonymise it

While no system can be guaranteed perfectly secure, we aim to manage information with care and in line with POPIA requirements.

5. Rights you hold over your information

You have the right to know what personal information we hold about you, to request correction of inaccurate details, and in some cases to object to certain processing or ask for deletion where the law allows it. If you would like to review or update your information, please write to UV Ink through the contact page form and provide enough detail for us to identify your request.

  • Ask for a copy of the personal details linked to your UV Ink orders
  • Ask us to correct incomplete or inaccurate details
  • Withdraw any consent you gave UV Ink, where we rely on consent
  • Object to direct marketing where applicable
  • Complain to the Information Regulator if you feel your rights were affected

We may need to verify your identity before acting on a request, especially where the information is sensitive or business records are involved.

6. Cookies, Website Use and Enquiry Forms

When you use our website, basic technical information may be collected through cookies or similar tools to help the site function properly, improve form handling, and understand how visitors use our pages. This may include browser type, device information and general site activity. We use this information in a limited way and not to identify you personally unless you submit an enquiry form.

If you send us a message through the contact page, the details you provide will be used to respond to your request and manage the follow-up. Please make sure your form submissions are accurate and include only the information needed for the matter at hand. For product related support, it helps to include printer type, curing setup, substrate and any adhesion issue you are seeing.

7. Safety Notes for Product Support Enquiries

When discussing UV-curable inks, curing behaviour, adhesion or printer compatibility, we may ask for technical details so that we can assist properly. Information shared for this purpose is treated as confidential business correspondence and used only for support, sample preparation or order management.

Where we provide handling guidance, we expect users to follow the safety data sheet supplied with the product and wear gloves when handling inks or related materials.

If you are unsure what information to share, keep it to the job requirements and the printer details we need to assist you. We do not require unnecessary personal information to provide technical support.

8. Contact and Policy Updates

UV Ink may revise this policy when the law or our service changes. The latest version will apply from the date it is made available on our site. Continued use of our enquiry channels after an update means you have read the current version.

If you have a privacy concern, want to exercise a POPIA right, or need clarification on how your information is handled, please contact us through the enquiry form on our contact page. We will deal with your request within a reasonable time and in line with applicable South African law.
